Why You Need a Salary Slip
It is your everyday proof of income. Banks ask for it when you apply for a loan or credit card. Embassies check it for visa applications. You will also want it when filing income tax returns or negotiating pay at a new job. Keep at least the last six months saved.
What a Good Salary Slip Format Includes
A proper format should have these parts:
- Company detail: name, address and logo if you have one.
- Employee details: name, ID, designation, department, PAN and bank account number.
- Pay period: The month and year, plus working days and days paid.
- Earnings: basic salary, house rent allowance, spending allowance and any other pay.
- Deductions: provident fund, professional tax, TDS and anything else withheld.
- Totals: gross salary, total deductions and net pay.
- Signature area: for the employer and the employee.
Salary Slip Formula
- Gross Salary = Basic + HRA + Allowance + Bonuses
- Total Deduction = PF + TDS + Professional Tax + Other deductions
- Net Salary = Gross Salary – Total Deductions
If an employee is paid for fewer days than the month has, the earnings are scaled down: Earned amount = Monthly amount * Days paid / Working days.
Quick Example
Take an employee earning Rs 20000 basic Rs 12000 HRA and Rs 8000 special allowance.
Cross salary is Rs 50000. Provident fund is 3600 and professional tax is 200, so deductions are Rs 3800. Net salary is Rs 46200.
How to Fill in the Format
Start with the company and employee details. Then enter the month, working days and days paid. Add each earning and each deduction. In the Excel file, the totals fill in automatically. In Word, calculate then yourself and enter them. Read the figures once more before you share the slip, because a wrong PF of tax number causes trouble later.
